Project Basics

Think About Your Goals

Before we can work together successfully, it's important to think about your goals: What is being promoted? Who is your audience? What are your primary goals? What is the key messaging you want to communicate?

How Can We Help?

We offer marketing, communications, and creative services. You may need just one of these services, a combination of several, or you may not know what you need.

Here are some questions to get you started:

  • Do you need posters, digital signage, or a printed graphic?
  • Do you need social media content created for your department platforms?
  • Are you updating a current website, or do you need to create a new web page or website?
  • What is your budget?
  • What is your timeline?

Have questions about marketing needs or not sure where to start? You can setup up an initial 15-minute meeting with one of our team members by submitting a request on the Let's Chat form. Please come to this first meeting prepared to discuss marketing needs, content, budget, and delivery dates.

Our Process

Submit a Marketing Request

Circle with the number 1

Let us know what you are looking for once you have your goals, the information required and your project is approved by your department by submitting a marketing request. We accept projects on a first-come, first-serve basis. Our ability to complete your project by the time you desire is dependent upon how far in advance we receive your marketing request and all of the needed content. We will not begin a project until we have all of the content needed, which could affect our ability to deliver your project by the time you desire.

By completing a marketing request form, you will allow us to help deliver the best possible service. We will offer project management services, proofread text to reflect the University's writing style, and design to uphold University and brand standards. Please designate one person from your office to be the project's point person. Having one point person helps both of our teams with efficiencies.

Marketing Request Forms

Don't Delay

We need time to complete your project, so please don’t delay in submitting your marketing request. Please review and keep in mind the standard lead times for our services. The length of time to complete your project will depend upon its complexity, and the standard lead times listed below are subject to change. Certain times of the year are busier for everyone including our office from July to September, December to January, and April to May. The standard lead times are defined in business days and weeks. Printing and delivery depend on the complexity and may add additional time. We recommend reviewing our standard lead timelines below for specific timelines on how far in advance to submit your request for when you need deliverables in hand.

We value quality and ask you to follow the standard lead timelines below to ensure we can deliver the highest quality work for you and your brand. The timelines are based on standard design times.

Our team will contact the requestor if we need additional information. Then, our team will start work! The designated marketing contact will then send the approved deliverable(s) (e.g. graphics, press release, etc.) to the department for review.

Review Process

Circle with the number 3

The department will review the deliverable(s) including design, proofread text and information and gain approval or provide revision needs to the marketing contact. Please read all proofs carefully, with a focus on quality assurance and making sure all text, images, spelling, and information are correct. Please note that in order to service over 10 brands, we limit the number of revisions for each project to three rounds of revisions.

Time to Finalize

The marketing contact will review any revision needs provided and work with the marketing team to make the revisions. The final deliverable will be shared with the department again for approval. Once approved, the final deliverable will either be printed or distributed as requested.

Promotion or Distribution

After deliverable(s) are approved, the promotion or distribution time starts! Depending on what you requested, this may include graphics being displayed, social media content being posted, communications being shared, and more.

Note: Each department is responsible for paying for their print requests. We will order what is listed on the marketing request form and use the chartfield provided unless other changes are communicated with the marketing contact for your project.
