Process

We offer marketing, communication and creative services to the following departments under Entrepreneurial Activities: Box Office, Campus Prints, Conference and Event Services, Student Center, University Culinary Services, University Store, WolfBucks and the Student Affairs Division departments including Campus Recreation, Career Center, Residential Education and Campus Housing and Student Involvement.

The process below is in place to create an efficient workflow between your department and our team.

1. Submit a Request

Please submit a marketing request once you have all the information required and the project is approved from your department. Please see our lead time information  below to give you an idea of how far in advance to submit a request to ensure it can be completed in a timeline manner for the target date needed. By completing the form below, you will allow us to help deliver the best possible service.

In the form include all required text or images. Text should be provided in the field for text on the form or in a word document as an attachment at the end of the form. All photos should be high resolution and submitted separately as an attachment in the form.

  • Campaign Request Form: Use this form if you are in need of multiple marketing pieces for your campaign. Marketing pieces may include graphic, communications, social media, photography and more.
  • Singular Marketing Request: Need one item only such as a graphic, social media post, photography, etc, then this is the form to fill out.
  • Website: Are you in need of a website update or a new page? Then, this is the form to submit. 

2. Communications 

Our team will contact the person listed on the request form to follow up on important information and discuss the proposed schedule with key dates for deliverables. Note these are estimated dates, which may be moved based off of the teams availability and schedule. Any missed commitments from you or your department can delay the dates provided.

3. Work Begins

The marketing team will add your project to our project management system including the text and information provided from the submitted request form. We will then assign our team member(s) to begin work. The marketing contact will then send the deliverable(s) to the department for review.

4. Review Process

The department will review the deliverable(s) including design, proofread text and information and gain approval or provide revision needs to the marketing contact.

5. Marketing Finalized/Distributed  

For the final step, the marketing contact will review any revision needs provided and work with the marketing team to make revisions. The final deliverable(s) will be shared with the department again for approval. Once approved, the final deliverable will be either printed or distributed as requested. The department requesting the work is responsible for paying for printing. The marketing request will be closed during this time.

 

Lead Times

We generally suggest submitting your request 1 month prior to when you need deliverable(s) in hand for all campaigns. It generally takes a minimum of two weeks to design and create deliverables. Printing times generally take an additional 3 to 5 business days after the print pieces are approved. From start to finish it is recommended to allow one month for all campaign projects. 

We value quality and ask you to please follow the timelines below to ensure we can deliver the highest quality to you and your department. The timelines are based off standard design, print and production times.

Certain times of the year are busy for everyone at Sonoma State University, including Entrepreneurial Activities marketing:

  • July to September
  • December to January
  • April to May
